You retain ownership of your business accounts and the information you provide. We agree on the access needed for your project and how information moves between the connected services. Hosting, processing, logs, backups, and retention are discussed and documented for the project before live client data is used.
1. Overview & Scope
This Privacy Policy explains how Automatnxt (“we,” “us,” or “our”) handles personal and business information collected through automatnxt.com (the “Site”), our scheduling and communication channels (including Cal.com), and throughout our custom automation services (the “Services”).
By accessing our Site or communicating with us regarding potential automation projects, you acknowledge the information practices described in this policy.
2. Information We May Collect
We limit information collection to what is reasonably necessary to respond to your inquiries, scope projects, and perform agreed automation services:
- Website Preferences: If you pause site motion, your choice is saved in your browser’s local storage so it can apply on later visits. This preference does not contain your contact or project information.
- Inquiries & Project Scoping: When you schedule a call via Cal.com or communicate with us about a project, we may collect your name, work email address, company name, website, role, and details describing the operational bottlenecks or workflows you wish to automate.
- Integration Access: A project may require OAuth permissions, restricted API keys, or other access to your tools. We agree on the permissions, credential-sharing method, storage arrangements, and authorized access needed for setup and any ongoing support. Do not send credentials in initial inquiries.
- Workflow Information & Execution Records: Depending on the agreed setup, a workflow may process messages, documents, customer records, or other information you authorize. Execution logs, temporary storage, and backups may contain parts of that information. Their purpose, access, and retention are defined for the project; credentials and unnecessary sensitive content should be excluded from logs.
- Technical & Log Data: When you visit our website, our hosting and security providers may automatically record limited technical data, including your IP address, browser type, operating system, referring pages, timestamps, and diagnostic information to secure and troubleshoot our infrastructure.
Important Notice on Sensitive Data: Please do not submit confidential business secrets, unauthorized third-party records, passwords, or sensitive personal data through public contact forms or initial messages.
3. How We Use Information
We use the information we collect strictly to:
- Respond to your inquiries, assess technical feasibility, and prepare proposals or Statements of Work (SOWs);
- Design, build, test, and maintain the custom workflows and integrations requested;
- Maintain accurate business, billing, and communication records;
- Operate, protect, and optimize the security and performance of our website and services;
- Prevent misuse, fraud, or unauthorized system access, and satisfy applicable legal obligations.
Client information is used for the agreed project and related service purposes. If AI processing is part of the workflow, we identify the providers, the information sent to them, and relevant data-use and retention settings before that processing is enabled. Provider practices vary by service and configuration. We do not sell your data.
4. How We Share Information
We only disclose information in limited, necessary circumstances:
- Infrastructure & Service Providers: Hosting, scheduling (including Cal.com), and communication services may process information needed to provide their services under their own terms and privacy notices. Project-specific hosting and processing providers, including any AI services, are identified as part of the agreed setup.
- Your Designated Integrations: When we build an automated workflow on your behalf, data is transferred between the specific third-party tools you designate (e.g., Google Workspace, Slack, Airtable). Processing within those services is governed by your agreements with those respective providers.
- Legal & Safety Compliance: We may disclose information if required by law, subpoena, or court order, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Automatnxt, our clients, or the public.
We do not sell personal or client data under any circumstances.
5. Data Retention & Security
We retain personal information only for as long as reasonably needed to fulfill the purposes outlined above, including responding to inquiries, maintaining service agreements, and satisfying legal and tax obligations.
For client projects, we agree on what information and execution records need to be retained, where they are held, who can access them, and the retention period. The agreement also covers backups, credential storage, access revocation, and deletion or return of project information when the service ends. Retention in client-owned accounts or third-party services also depends on their settings and policies.
Security arrangements are selected for the project and documented before live processing. This includes access permissions, credential handling, storage protection, and any monitoring responsibilities. No internet transmission or electronic storage method is entirely infallible, and absolute security cannot be guaranteed.
6. Your Choices & Rights
Depending on your jurisdiction, you may hold rights to request access to, correction of, or deletion of your personal information held by us. You may also have the right to object to or restrict certain processing activities.
To discuss a privacy request or inquire about your data, use our Contact pageto arrange a conversation. We may need to verify your identity before taking action on your request.
7. Third-Party Links
Our website and communication channels link to third-party platforms (such as Cal.com). We do not control and are not responsible for the privacy practices or content of these external services. We encourage you to review their independent privacy notices.
8. Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices or applicable legal requirements. Any modifications will be posted on this page with an updated “Last Updated” date.
